Preparing and submitting court documents for lodging in proceedings by Claim in the Brisbane Supreme Court

Starting a new application

Once you have logged into the Queensland Courts and Tribunals Online Services Portal (OSP), on the home page, click the ‘Supreme Court Claims’ card or search ‘civil claims’ in the search bar.

This takes you to the Supreme Court Claims dashboard where you can start an initiating lodgement by clicking the green ‘Start new lodgement’ button.

Before you begin page

Every lodgement starts with the ‘Before you begin’ page. This page tells you all the information you need prior to completing a lodgement including any steps you need to take prior to lodging your claim and how to prepare your documents which must be completed and uploaded as PDFs with your claim.

There is nothing you need to input into this page. When you are ready, click on the ‘lodge material’ button to start your application.

New lodgement

On the ‘New lodgement’ page, confirm the legal practitioner details and select the lodgement type.

If you are not a legal practitioner, you must select the name of the practitioner you are lodging the claim on behalf of.

You can select to lodge either a new claim, or an existing claim.

If you are lodging documents for an existing claim, you will need the existing file reference number.

Continue the lodgement steps by entering the plaintiff and defendant (or third party) details in the relevant fields.

Navigate the steps by using the ‘Continue’ or ‘Back’ buttons at the bottom right of the page.

You can also navigate to different sections of the lodgement using the links in the progress bar on the left-hand side of the screen. This progress bar tells you where you are in the lodgement and what you must complete.

  • Blue shows where you are in the process
  • Orange shows that you have not completed all the necessary fields on a page
  • Green shows that you have completed all the fields on a page
  • Grey shows which pages you have not started

Upload documents

On step 4, you can select the documents you wish to upload based on the nature of your lodgement. You can upload as many documents as necessary by selecting the items in the drop-down list.

If you are submitting a new claim, form 2 will automatically be selected as the first document type to upload.

Once the document types have been selected; you will be able to upload the PDF text searchable file to the relevant document title (information about file type is contained at Civil Claims - Brisbane Supreme Court).

When a file has been successfully uploaded you will see a green box with the document title.

To remove an incorrectly uploaded file, click the X in the document field.

Saving your lodgement as a draft

You don’t have to complete and submit your lodgement in one session. You can save it as a draft at any time by clicking the ‘Save’ button at the bottom of the page.

Your lodgement will not save unless you click the ‘Save’ button.

Once saved, your lodgement will appear in your Supreme court claims dashboard under ‘My lodgements’ with a status of ‘Draft’. To continue this lodgement select, ‘View’, and then 'Continue lodgement’.

Please note any lodgements left as draft won't be seen by the registry.

Review and submit page

This page shows you your lodgement as far as you have completed it. You can’t submit your lodgement until it is complete. If you have incomplete fields in the lodgement, you will get an error message that lists all the sections you have missed. You can click on the link(s) in the error message to be taken to that section of the lodgement.

If you want to make any changes, click the ‘Edit’ link and you will be taken back to that page of the lodgement.

Remember, you can navigate back to the ‘Review and submit’ page by clicking the link in the progress bar on the lefthand side of the screen.

When you’re ready to submit, click the ‘Submit lodgement’ button. You won’t be able to make any changes to your lodgement after you submit the lodgement, however you can submit additional documentation through the “My lodgements” table in your Supreme court civil claims dashboard.

Successfully submitted

After you submit, the page will refresh, and you will see your lodgement reference number. This is a temporary number to be used until you receive a court file number. This page also gives you information about how your lodgement will be reviewed and payment information, if relevant.

The portal does not currently accept payments. Follow the link to the secure payment gateway to make payment if necessary.

The nominated contact person will also receive an email with confirmation of lodgement via the OSP.

Your court file number

You only receive a court file number after the registry has filed your claim. When this occurs, you will receive an email from the registry advising you of your court file number. You will also be able to see your court file number on your claim in the Supreme Court Claims lodgement dashboard.

Your court file number will always start with BS. E.g. BS 1234/56

Supreme Court Claims dashboard

To go to your Supreme Civil Court lodgement dashboard, click ‘Supreme Court Claims’ in the blue links to the left of the link to your profile.

Here you can see all the lodgements for your firm listed in a table. The most recent lodgement will always be at the top. Use the search, status filter and location filter to reorder the listings in the table. At the bottom of the table, you can select different table display options.

The first column in the table that lists the ‘Lodgement reference number’. This will show your reference number (e.g. REF00015/24) for draft applications or applications with a status of ‘Lodged’ only.

All forms lodged and awaiting consideration by the registry or saved to the portal (but not yet lodged) will be allocated a ‘Lodgement reference number’ even if the matter has previously been allocated a ‘court file number’.

When your application has been filed by the court, the second column “Court File Number” will update to display your court file number which will always start with BS and end with the year (e.g. BS 1234/56).

The status column may show one of the below statuses:

  • Draft – not submitted
  • Lodged – submitted and being reviewed by the registry
  • Filed – filed by the registry and any applicable fee has been paid
  • Returned – Unfiled – documents not accepted by the registry.

The last column in the table is the ‘Actions’ column. Here you can click view to go to that lodgement. If a lodgement is in draft, you can also delete the draft from here. Click the down arrow and select ‘Delete draft’.

Applications will not expire or be removed from the system. You can keep draft applications open for as long as you need to and review submitted applications at any time.

Adding additional documents

To add additional documents to an existing claim, go to the Supreme Court Claims dashboard and click the ‘View’ link in the Action column. Scroll to the bottom of the page to the ‘Upload documents’ section and select the document types from the drop-down list you wish to submit. Upload the relevant document and click ‘Submit’.
